About Us

PharmaMate Technologies Inc. (“PharmaMate”, “MédicAmi”, “we”, “us” and similar terms) is committed to respecting your personal information and protecting your privacy.

This policy applies to the collection, use, disclosure, and handling of personal information of (i) visitors to our websites at https://www.pharmamate.app/ and https://www.medicami.ca/, which include the Pharmacy Dashboard,  (the “Websites”);(ii) users who download our mobile application (the “App”); (iii) users who register for our marketing emails; and (iv) anyone else who communicates with us.

Our Privacy Policy

This privacy policy describes what personal information we may collect from or about you, why we use your personal information, how we may share personal information with third parties, and more generally the information handling practices we maintain.

By providing your personal information to us, you acknowledge that we may use and disclose it as set out in this privacy policy. We may provide you with further notices highlighting certain uses we wish to make of your personal information. We may also give you the opportunity to opt-in or opt-out of selected uses, such as marketing, when we collect your personal information, in each case in accordance with applicable law.

From time to time, we may need to make changes to this privacy policy, for example, as the result of government regulation, new technologies, changes to our information handling practices or other changes in data protection laws. You should check the Websites periodically to review the most up to date privacy policy. Where required by law, we may reach out directly to inform you of changes.

How Do We Collect Your Personal Information?

Depending on how you interact with us, we may collect your personal information using the following means:

  • By telephone.
  • When you email us.
  • Via cookies and other similar tracking technologies deployed on our Websites or App.
  • Through fillable forms on our Websites or social media pages.
  • When you upload or submit information through the App.

What Personal Information Do We Collect and How is that Information Used?

We collect and use personal information in various ways, depending on how you interact with us.

(1) The PharmaMate App
App not Connected to a Pharmacy

You may download our App to access educational content and videos or use other in-App features (e.g., medication reminders, health monitoring tools, portable health recordkeeping, etc.). In these circumstances, we will collect your name and email address to create your account and authenticate your identity. In addition, you may submit additional health information to the App, such as your height, demographic information (i.e., pregnancy or breastfeeding status),immunization history, allergies, health conditions, medication history and details, heart rate, blood sugar, blood pressure, symptoms, side effects, and weight. You may also submit your diet and social information, such as recreational substance use, alcohol use, tobacco use, caffeine use, or your diet in general. You may also choose to connect our App with other health apps (such as Apple Health or Google Health Connect). This will allow you to automatically import personal information, including your health information (such as blood pressure, blood sugar readings, etc.), into the App.

We will use this information only to provide our App services to you. We do not use or disclose this information for other purposes, except with your consent or as otherwise stated in this policy.

We may also collect your feedback and support requests in order to troubleshoot and improve our App and services

App Connected to Your Pharmacy

Our App also allows pharmacies to connect with you, particularly through the Pharmacy Dashboard. In such case, the pharmacy may provide you with a QR code to allow you to connect with them through the App. When your pharmacy registers for our service, your personal information, which may include your name, phone number and date of birth, may be accessible to us as the provider of the App.

Once the pharmacy has connected with you through the App, you may grant your pharmacy access to your personal information, including your health information, stored on the App (for more information on what personal information you may store on the App, see the “App Not Connected to a Pharmacy”). You and/or your pharmacy may also use the App to communicate with each other or create and manage appointments, in which case we will handle this information to provide this service.

We process this information to provide the pharmacy-connected services. We may also use your appointment information and non-identifiable health monitoring information in order to provide your pharmacy with relevant analytics about you.

The purpose of this App feature is to allow your pharmacy to provide you with more personalized service. However, your pharmacy is ultimately responsible for how it chooses to collect, use and disclosure of your personal information, including health information. We have no control over how the pharmacy processes, stores and protects your data. If you have any concerns about how your personal information is being handled by your pharmacy, please contact your pharmacy directly or ask to consult their applicable privacy policy to better understand how they process or handle your personal information.

(2) Cookies and other Tracking Technologies on our Websites and App

If you visit or use the public-facing Websites, we or our service providers may use cookies and other tracking technologies (e.g., web beacons, flash cookies) to collect various information. This information includes device information(e.g., device type, IP address, general location, browser type, language) and usage data (e.g., referral source, pages visited, time spent on each page, links clicked, etc.). This information may be used:

  1. to allow you to access and use our Websites;
  2. for security purposes (to detect and respond to malicious uses of the Websites);
  3. to analyze usage patterns to troubleshoot and improve our Websites;
  4. to personalize content (e.g., remember choices you have made); or
  5. to allow our third-party partners to provide relevant advertising to you on the Websites or other websites you visit.

You can manage your cookie preferences through your browser settings or through our cookie banner.

If you use our App, or the Pharmacy Dashboard, we may collect information about your interactions with these services in order to troubleshoot or improve our services. This user information is pooled together and stored separately from any identifiable information. It includes information such as number of users, videos watched and watch time per video, number of appointments scheduled, and other statistical information about our users.

(3) Promotional Email Subscribers

If you subscribe to the PharmaMate newsletter we may collect your name, email address, and communication preferences. We use this information to send you email notifications, alerts and occasional marketing communication in accordance with your preferences. You may unsubscribe to our promotional emails at any time by clicking the unsubscribe button in any promotional email to you. You may also optionally provide us with your organization, phone number, address, city and province, which we will use to better understand you and your needs to communicate with you more effectively or through other channels.

(4) Questions or Communications

If you ask about our organisation or services, or otherwise communicate with us(including by email, phone, video-conference or online form) we may collect any information you provide to us. We will use this information to respond to your requests or inquiries, and otherwise provide customer service to you.

In addition to the purposes above, we may use any personal information we collect for security and fraud prevention, to defend legal claims, comply with applicable laws, or otherwise as permitted or required by law.

How Do We Share Personal Information?

We may share personal information with various third parties. We strive to ensure that our service providers will protect your personal information in a manner consistent with this policy,. These third parties include:

  • Pharmacies. If your pharmacy connects with you through the App, you may grant your pharmacy access to your information stored or available on the App. This is discussed in more detail at “App Connected to Your Pharmacy” above. We have no control over how the pharmacy processes, stores and protects your information. If you have any concerns about how your personal information is being handled by your pharmacy, please contact your pharmacy directly or consult their privacy policy.
  • Cloud Storage Platforms. Our cloud storage platform providers may have access to your personal information when providing us with cloud storage and maintenance services.
  • Website / App Developers. Our Websites or App developer may process and store your personal information collected or processed through our Websites or the App in order to provide and maintain the Websites or the App.
  • Email Distribution Services. We use an email distribution service to send our newsletters and maintain our subscriber list. This service provider will process your contact information and email preferences (e.g., unsubscribe requests) to distribute emails to you and comply with legal requirements.
  • Third-Party Cookie Providers. We use third-party cookie providers to enhance your browsing experience and collect information about how you interact with our Websites. These cookies allow us to analyze users navigate the Websites in order to improve our user experience, enhance the Websites or troubleshoot and resolve  Websites issues. These cookies may also track your activity across different websites to provide you with personalized content and advertisements. You can manage your cookie preferences through your browser settings or through our cookie banner.
  • User Authentication Services. We use a third-party service provider to authenticate users of the App. This third-party service provider will process your email address and password to authenticate you when you sign up for and use the App.

Please note that we may change or work with new third-party service providers at anytime, in our sole discretion. We encourage you to review our privacy policy from time-to-time to obtain updated information about our service providers.

Subject to applicable law, we may also disclose your personal information to third parties in connection with loans or other financing that we seek or in connection with a prospective or completed business transaction, including a merger, sale or transfer involving all or part of PharmaMate or its assets or as part of are organization or restructuring or other change in legal form or corporate control.

We may disclose personal information to comply with the law. For example, we maybe compelled by legal action to release information in connection with statutory reporting obligations, search warrants, court orders, subpoenas, summons, discovery obligations, bankruptcy or insolvency proceedings or other legal requests.

We may also disclose personal information to other parties where you consent or when otherwise permitted or required by law.

Cross-Border Transfers of Personal Information

We may engage third-party service providers who may process or store your personal information outside of Canada, including in the United States. Personal information that is processed outside of Canada may be accessible to foreign courts, law enforcement and national security authorities. If you are in Quebec, your personal information may be communicated outside Quebec.

If you are located in Alberta, you may contact our Privacy Officer at sameer@pharmamate.app to (i) obtain written information about our policies and practices with respect to service providers outside Canada; or (ii) ask questions about the collection, use, disclosure or storage of personal information by service providers outside Canada for or on our behalf.

How Do We Protect Your Information?

We take steps to protect your personal information with appropriate technical, organizational, and administrative safeguards. These include encryption, firewalls, data segregation and access controls.

However, the transmission or storage of personal information via the internet or other electronic means is not completely secure. Therefore, we cannot guarantee the security of your personal information. Any transfer or storage is at your own risk to the extent permitted by applicable law.

How long will we retain your personal information?

We only keep your personal information for as long as necessary to fulfil the purposes for which the information was collected unless a longer retention period is permitted or required. For example, we may retain customer information for a longer period to comply with tax laws or to defend PharmaMate from legal claims.

When you delete your account, we may continue to retain your personal information to the extent we need to for compliance purposes. However, we will continue to protect your personal information, and we will no longer use or share your information.   When we delete your personal information in accordance with our data retention policies and practices, we will take measures to ensure that the deleted information is permanently deleted and unrecoverable.

Roles and Responsibilities within our Organization

The personal information that we collect is accessible to employees within PharmaMate that need access to perform their duties, such as employees within the research and development team, information technology (IT) and security team, finance team, management team, or other teams within PharmaMate.

Our Privacy Officer has overall responsibility for our compliance with applicable privacy laws, including responsibility for the day-to-day administration and implementation of our privacy program, such as by developing and delivering privacy training to relevant personnel, establishing relevant policies and procedures, investigating and responding to complaints and potential violations of our privacy policies or relevant laws, responding to requests from individuals to exercise their rights under applicable privacy laws, and regularly reviewing and identifying opportunities to improve our privacy program.

All other personnel are responsible for: protecting the confidentiality and security of any personal information they handle in connection with their employment; following our security measures and policies and procedures for handling personal information; refraining from any unauthorized access, use or disclosure of personal information; and reporting security or confidentiality incidents.

Please note that links and advertisements on our Websites or the App may transfer you to a third-party website, whose privacy practices may vary to that of PharmaMate. We are not responsible for and have no control over information that is submitted to or collected by third party websites.

Keeping your Personal Information Accurate

Please inform us if any of your personal information changes and needs to be updated. Failure to do so could prevent us from delivering our services to you. You can inform us of a change to your personal information by contacting us at the information provided below, or by updating your information on the App (as applicable).

Your Privacy Rights

You may have various privacy rights, depending on the jurisdiction in which you are located and the applicable laws. The rights set out below are subject to any limitations set out in applicable law.

  • Access: You can request access to your personal information.
  • Correction: You can request correction of any inaccurate personal information.
  • Withdrawal of Consent: You may withdraw your consent to the continued collection, use, communication, and disclosure of your personal information. Withdrawing consent may impact the availability of certain services, Websites or App features.
  • Deletion: Depending on where you are located, you may have the right to request deletion of your personal information.
  • Unsubscribe. You may unsubscribe to our marketing emails at any time by clicking the unsubscribe button in any email to you, or by contacting us as set out below.
  • Portability: If you are a resident of Quebec, you can request a copy of your personal information.
  • Complaint. You may submit a complaint to us about our collection and processing of your personal information. You may also submit a complaint to a privacy regulatory authority in your jurisdiction. The Office of the Privacy Commissioner of Canada provides helpful resource for you to determine which privacy law may be applicable, and which government body to contact. We recommend reaching out to us first to see if we can resolve your complaint for you.

We will respond to your request as soon as we can. Should we require additional information, we will notify you. We might need to verify your identity in order to process your request. In the event we are unable to respond to your request for whatever reason, we will be sure to inform you in writing.
